WhatsApp Ordering for Restaurants: How It Works and Why It Beats Aggregators
24 May 2026 · 5 min read
Set up WhatsApp ordering for your restaurant without paying commission to Swiggy or Zomato. Here's how it works and what you need to get started.
Every time a customer orders from Swiggy or Zomato, you pay 18-30% commission on the order value. On a Rs 500 order, you're giving away Rs 90-Rs 150 before GST, packaging, and your own costs.
WhatsApp ordering lets you take that same order directly - with the customer sending their cart and address straight to your WhatsApp number. Zero commission. Full customer relationship. No third-party app in between.
Here's how it works, what you actually need, and how to set it up.
How WhatsApp ordering works
The flow is simpler than most restaurant owners expect:
- Customer opens your menu link (shared via QR code, WhatsApp, Instagram, or Google)
- Customer browses and adds to cart - quantity controls, just like any ordering app
- Customer enters their delivery address - via location pin or area search
- Customer taps "Order on WhatsApp"
- A formatted order message lands on your WhatsApp - item list, quantities, delivery address, cooking instructions, and total
That's it. You receive the order on WhatsApp, confirm it, and prepare. No app. No aggregator. No commission.
What you get that Swiggy/Zomato doesn't give you
Direct customer contact When a customer orders through Swiggy, Swiggy owns that relationship. You can't message them, run loyalty programs, or let them know about your new dish. With WhatsApp ordering, you have their number and they have yours.
No commission Rs 0 per order. On 100 orders a month averaging Rs 400 each, you keep Rs 40,000 instead of losing Rs 8,000-Rs 12,000 to the platform.
Your own brand, not the platform's Customers see your restaurant name, your photos, your menu - not sandwiched between 50 competitors with a "Sponsored" label above them.
No algorithm dependency Your visibility on aggregators depends on ratings, ad spend, and the platform's ranking algorithm. Your menu link is yours. Share it wherever you want.
What you need to get started
1. A digital menu with a public link You need your menu hosted somewhere customers can open it from their phone. This is the foundation - the cart, ordering flow, and WhatsApp handoff all build on top of it.
2. A WhatsApp number for orders Can be your existing restaurant WhatsApp or a dedicated number. Business WhatsApp is fine, but even a regular WhatsApp number works.
3. Delivery radius and charges (optional) If you deliver, you can set a delivery radius (in kilometers from your location) and a delivery charge. The menu shows customers whether they're within delivery range before they place the order.
That's all. No special WhatsApp API account. No bot. No monthly WhatsApp Business fees.
Setting up WhatsApp ordering on ZapMenu
ZapMenu has built-in WhatsApp ordering on the Pro plan. Here's the setup:
Step 1: Add your WhatsApp number In Dashboard -> Settings -> WhatsApp Ordering, enter the phone number where you want orders to arrive.
Step 2: Set your delivery zone (optional) Drop a pin on your location and set your delivery radius. You can also set a flat delivery charge or configure distance-based charges.
Step 3: Enable ordering Toggle WhatsApp ordering on. Your public menu now shows a cart and an "Order on WhatsApp" button.
Once enabled, every order that comes in is also logged in your ZapMenu dashboard - so you can see daily order counts, peak hours, and monthly trends without manually tracking WhatsApp messages.
Tips for making direct WhatsApp ordering work
Put the menu link everywhere WhatsApp status, Instagram bio, Google Business profile, and a QR code at your counter and tables. The more places the link exists, the more direct orders you get.
Reply fast Unlike Swiggy/Zomato where the order is auto-confirmed, WhatsApp orders need you to reply. Customers expect a confirmation within 5 minutes. Set a quick-reply template in WhatsApp Business.
Add photos to your menu Menus with photos convert significantly better. Even phone photos are better than no photos. Upload them when adding items - they show on the menu and in the cart.
Mention your WhatsApp ordering in your Swiggy/Zomato bio You can't link directly from there, but you can mention "Order directly on WhatsApp for faster delivery" and let customers find your link. Some will, and those are zero-commission orders.
Common questions
Can I use WhatsApp Business instead of regular WhatsApp? Yes, and it's recommended. WhatsApp Business lets you set a business profile, hours, and quick replies - all useful for handling orders.
What if I get too many orders to manage on WhatsApp? This is a good problem to have. ZapMenu logs all orders in the dashboard, so you can review them even if individual WhatsApp threads become busy. You can also set ordering hours so customers can't place orders when you're closed.
Can I run WhatsApp ordering alongside Swiggy/Zomato? Absolutely. Most restaurants run both. WhatsApp ordering captures your loyal customers and walk-ins; aggregators capture discovery. Over time, as customers learn they can order directly, the mix shifts.
Is there a commission or per-order fee on ZapMenu? No. ZapMenu charges a flat monthly subscription (Rs 399/month on Pro). No per-order fees, no commission.
Direct ordering is the most underused lever in Indian restaurant economics right now. The tools exist. The customers are already on WhatsApp. The only thing missing is your menu link.
